1. About these terms
These terms govern your use of our three online services (together, “the Sites”):
- helmm.io, our website, including its quote tools;
- onboarding.helmm.io, the portal where a new client, and the IT provider they are leaving, give us the information we need to take over their IT;
- asset.helmm.io, the page behind the QR code on the asset tags we fix to devices we manage.
By using any of the Sites you agree to these terms. If you don’t agree, please don’t use them.
The Sites are operated by HELM Managed Services Ltd (“HELM”, “we”, “us”, “our”), a company incorporated in England and Wales under company number 17265994. Our registered office is:

The Sites are intended for businesses. If you use them as a consumer, nothing in these terms affects your statutory rights.
2. How these terms fit with your agreement with us
The managed IT, cybersecurity and consultancy services we provide are governed by a written agreement between HELM and your organisation. If you use the onboarding portal, or signed-in parts of the asset tag service, as part of that engagement, the agreement applies as well as these terms. Where the two conflict, the agreement takes precedence.
3. Quotes and estimates
Our website offers two tools that produce prices: the Budget Explorer and the invoice comparison (“Beat my invoice”). Please bear in mind:
- Any figure they produce is an indicative estimate to help you plan. It is not an offer, and it cannot be accepted to form a contract.
- Our actual price is set out in a written proposal after we’ve understood your requirements, and may differ from the estimate.
- The invoice comparison uses artificial intelligence to read your invoice and match its lines to our services. It can misread a document or make mistakes, so please treat its output as a starting point for a conversation rather than a like-for-like comparison.
- Only upload an invoice you are entitled to share. We recommend removing anything we don’t need to produce an estimate, such as bank details or personal information about individuals.
4. The onboarding portal
- Access is by invitation, and it is yours. Sign in with your own work account for the email address you were invited on. Don’t share your access, forward your invitation, or let anyone else use the portal as you. If someone else needs access, ask for them to be invited.
- What you tell us. Please make the information you provide as accurate as you can. Only give us information and documents you are entitled to share, including information about your colleagues, and only on behalf of an organisation that has authorised you to.
- Never enter passwords or secrets. We never ask for passwords. Don’t type passwords, recovery keys, API keys or any other secret into the portal or upload them in a document. If one genuinely has to be handed over, use the secure drop link in your pack.
- Uploads. Upload only the kinds of file the portal accepts, and nothing that contains malicious code.
- Who can see it. Everyone invited to an onboarding can see all of it, including who entered what. That usually means your colleagues, HELM, and the IT provider you are leaving.
- When it ends. When the handover is complete we close the onboarding, and access to it ends. Its contents are deleted 90 days later, as our Privacy Policy explains.
We may suspend or withdraw anyone’s access to the portal, for example if it is misused or when an engagement ends.
5. Asset tags
We fix asset tags to devices we manage for our clients. Scanning one opens a page that tells you the device is managed by HELM and how to report it found. The page reveals nothing about the device’s owner or user.
- Found a device? Please email [email protected], quoting the number on the tag, and we will arrange its return to its owner. Please don’t try to access the device or the information on it.
- Leave the tags alone. Don’t remove, alter, copy or tamper with a tag.
- Don’t probe the service. Don’t use asset.helmm.io to try to find out which devices or organisations we manage, for example by trying asset numbers in sequence.
- Asset records behind a sign-in are for HELM staff and the authorised users of the client concerned only.
6. Using the Sites
You may use the Sites for lawful purposes connected with your business. You must not:
- attempt to gain unauthorised access to the Sites, the servers they run on, or any connected system;
- attack the Sites through a denial-of-service attack or similar;
- use automated means to submit forms, run the quote tools in bulk, or scan or scrape any of the Sites, or otherwise use them for anything other than their intended purpose;
- introduce viruses, malware or anything else that is harmful;
- copy or reproduce the Sites’ content for commercial use without our permission.
We may restrict or suspend access to any of the Sites, or any part of them, at any time.
7. Intellectual property
The Sites and their content, including text, design, graphics, logos and pricing information, are owned by or licensed to HELM and protected by copyright and other intellectual property rights. You may view and print pages for your own business’s reference. Any other use requires our written permission. “HELM” and the HELM logo are our marks.
Information and documents you provide through the onboarding portal remain yours, or your organisation’s. You allow us to use them to deliver our services to your organisation, in line with our agreement with it and our Privacy Policy.
8. Information on the Sites
The content on our website is general information about our services. It is not professional advice for your particular circumstances, and you should not rely on it as such. We work to keep the Sites accurate, up to date and available, but we do not guarantee that they are complete, current or error-free, or that they will always be available or uninterrupted.
9. Links to other websites
Where the Sites link to other sites, such as our booking calendar, LinkedIn or the sign-in pages of Google and Microsoft, the links are provided for convenience. We have no control over those sites and are not responsible for their content or how they use your data.
10. Our liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded under the laws of England and Wales.
Our liability in connection with services we provide to your organisation, including the onboarding portal and asset records used as part of them, is governed by our agreement with your organisation, not by these terms.
Otherwise, and subject to the above:
- the Sites are provided “as is”, and we exclude all implied conditions, warranties and representations to the extent the law allows;
- we are not liable for any loss or damage arising from your use of, or inability to use, the Sites, or from your reliance on any content or estimate on them;
- in particular, we are not liable for loss of profits, sales, business or revenue, business interruption, loss of anticipated savings, loss of business opportunity, goodwill or reputation, or any indirect or consequential loss.
11. Security
We take reasonable steps to keep the Sites secure, but we cannot guarantee they will be free from bugs or viruses. You are responsible for keeping your own work account secure, for configuring your own devices, and for using your own protection when accessing the Sites.
12. Changes to these terms
We may revise these terms from time to time. The date at the top of this page shows when they were last changed. Please check back occasionally, as the version in force when you use the Sites is the one that applies.
13. Governing law
These terms, and any dispute or claim arising out of or in connection with them or the Sites, are governed by the law of England and Wales. The courts of England and Wales have exclusive jurisdiction.
